Definitions

Controller           The organization/entity that is the main decision-maker. It exercises control over the purposes and means of processing personal data.

Joint Controller  If two or more controllers jointly determine the purposes and means of the processing of the same personal data, they are joint controllers. However, they are not joint controllers if they are processing the same data for different purposes.

Processor            An organization/entity that acts on a clientā€™s (Controllerā€™s) instructions, even if they make some technical decision about how to process the personal data.

Data Subject      The identified or identifiable living individual to whom personal data relates.

What is the scope of this notice?

This Privacy Notice (the ā€œPrivacy Noticeā€) explains how we collect, use, share, and protect your personal information (ā€œInformationā€). This information shall be used in accordance with the permissions granted by you and in accordance with the UK GDPR, the EU General Data Protection Regulation (GDPR), and the UK Data Protection Act 2018.  We will also seek to comply with other relevant national data protection legislation where appropriate. If we update this policy, we will post any changes on our website. This Privacy Notice is also intended to assist you in making informed decisions when using our websites and products. Please take a minute to read and understand it and please note that it should be read in conjunction with our General Terms and Conditions and our Cookie Notice.

CABI does not accept responsibility or liability for the content, tools, or privacy policies of external websites to which we may link. Please check the terms and conditions and privacy notices of such third parties before using, and providing any information to, third parties, their sites, and programs.

This notice applies to the website or portal on which it is posted. It also applies to interactions via social media channels, such as Facebookā„¢, Twitterā„¢, LinkedInā„¢ and YouTubeā„¢.

What does personal data relate to?

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the Controllerā€™s possession or likely to come into such possession.

Lawful bases for processing personal data

Under the UK GDPR and GDPR, the lawful bases we rely on for processing your personal data/information are:

(a)          Your consent. You are able to remove your consent at any time. You can do this by contacting dataprotection@cabi.org.

(b)          We have a contractual obligation.

(c)           We have a legal obligation.

(d)          We have a vital interest.

(e)          We need it to perform a public task.

(f)           We have a legitimate interest.

The lawful bases of vital interest and performing a public task do not apply to our use of your personal data.

What information do we collect from you?

We currently collect and process the following information:

  • your full name
  • your contact information such as your address and postcode, your email address, telephone number, mobile telephone number, fax number
  • institutional or organization/company affiliation
  • credit or debit card information, information about your bank account number, and sort code or other banking information
  • your order history
  • customer support chat logs, emails, letters, and call recordings
  • the product ID of the product you purchased
  • your marketing and contact preferences
  • photos, videos or other files submitted to us at events, conferences
  • your browsing history and interactions with our websites, applications, and CABI products and services (such as products viewed, search history, geolocation, or clicked on advertisements)
  • IP address, date and time of visit, device used, browser type, operating system, referring website addresses, and app usage
  • your interests, the experience of our services and products, and product preferences
  • for business customers and institutions, we collect financial information, credit history, bank details, tax identification numbers, and documentation
  • any professional or personal information pertaining to a job application such as contained in a job application or Curriculum Vitae

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons, when you:

  • buy a product or service from us (including buying products online or over the phone)
  • register for a specific product or service
  • subscribe to newsletters, alerts or other services from us
  • sign up for a MyCABI account
  • enter your details on an online form
  • ask us for more information about a product or service, or contact us with a question or a complaint
  • register for a meeting, conference or other event organized by CABI or an events/conference organizer on CABIā€™s behalf
  • register for a training course or other training event run by CABI
  • take part in a competition, prize draw or survey
  • when you are involved in procurement processes to supply goods and/or services to CABI
  • take part in projects organized by CABI or of which CABI is a partner or involved in any way
  • take part in user testing
  • visit or browse our websites, applications, and other CABI Products
  • We may also collect information about you from other organizations, if this is appropriate, and from other companies, businesses, or project partners.

What technologies do we use to collect information?

Beyond information that you actively provide to us, we also collect information passively via various technologies.

Cookies

File Metadata

  • If you submit a digital photo or other file to us, it may contain metadata such as file name, dimensions, device, time or precise geolocation. If you do not want to share this data, you should delete the data before sharing it with us.

Embedded Links

  • Certain links in our emails and third-party websites may include tracking information embedded in the link. This tracking is accomplished via a redirection system that allows us to understand whether you clicked on the link and how the link is being used

Business Lists

  • To support our marketing efforts, we sometimes use customer lists, where permitted by local law. We use these lists to append additional information to our existing customer lists or to ensure the accuracy of our existing customer lists. Social Media Platforms

  • When you log into social media platforms from our websites, public information such as your username is shared with the social media platform, which may then in turn provide that information to us. We also use social media platforms to provide targeted advertising.

How will this information be used?

CABI and/or our partners may use the information that you have given us in the following ways:

  • to ensure that the content on our websites, applications, and other CABI Products is presented in the most effective manner for you and your computer
  • to perform statistical analyses measuring customer interest in various areas of our sites

Who will it be shared with?

We may share this information with:

  • partners or agents involved in delivering the products and services you have ordered or used, including partners or agents involved in delivering e-commerce services on CABIā€™s behalf
  • partners or agents engaged to perform services for and on behalf of CABI
  • donors, partners or agents involved with projects and programmes
  • conference/event organizers and venue owners and providers
  • third parties purchasing products and services from CABI

  • other partners and donors, and other professional advisers

Details of transfers to third countries and safeguards

We may need to transfer your information to CABI centres, partners, donors, collaborators and other agents in countries outside the UK and EEA (European Economic Area). This may happen if our partners, donors, collaborators, and other agents are based outside the UK and EEA, or if you use our services and products while visiting countries outside this area. We will always seek to transfer such data safely and securely using the appropriate technical and organizational measures as required by the UK GDPR, the GDPR, and other relevant data protection legislation.

Service providers

We will also transfer the personal information described in the ā€œWhat information do we collect from you?ā€ section above to service providers, who will process the information on behalf of CABI for the above-described purposes. These processors include providers of website hosting and maintenance, marketing database hosting, consumer engagement, advertising, shipping, and logistics services.

Analytical providers

We use analytic providers such as Google Analytics to analyse your browsing history and interactions with our website. In this context, we transfer anonymized data about the use of our website to the provider, which then compiles statistical reports for us about the use of our website.

User behaviour analysis providers

We may also use third-party platforms such as Microsoft Clarity to better understand the user experience, geolocational information, and behavioural patterns. They generally use cookies and other technologies to collect data on usersā€™ behaviour. This includes a deviceā€™s IP address, device, browser, geographic location, and the preferred language for use on our Website. The information is stored as a pseudonymized user profile and is not personally identifiable.

We have partnered with Microsoft Clarity to capture how you use and interact with our website through behavioural metrics, heatmaps, and session replay to improve and market our products/services. Website usage data such as mouse movements, clicks, scrolls, and user interactions is captured using first and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud/security purposes, and advertising. To prevent MS Clarity from gathering page view data, you can opt out of Clarity telemetry by selecting Microsoft here. Social media platforms

At various places on our websites we have implemented social network/social media features. These features include:

  • Links to CABIā€™s Websites on social networks
  • ā€œLikeā€ or ā€œShareā€ buttons
  • Embedded content, such as videos

The providers of the features above may use embedded content to identify you, the source of a visit and how you use our website.

When you use the recommendation functions, this communicates the URL of the respective website to the social network you have selected. A number of networks then immediately supplement the link with an excerpt of the content provided by our website. With most social networks, you are asked for confirmation before this is saved or forwarded.

We have integrated social media tools from social media providers such as: Facebookā„¢, Twitterā„¢, YouTubeā„¢, and LinkedInā„¢.

Please note that we do not have control of how these entities deal with the information you share with them and whether this information is made available to others. We recommend that you read their privacy notices and terms and conditions carefully.

How we store your personal information

Your information is securely stored. We use technical, organizational, and physical security arrangements for all the personal data we hold and process, including the necessary protocols and relevant policies, procedures, and guidelines to maintain such arrangements. These protocols take into account the risks associated with the categories of personal data that we hold and the processing we undertake.

Reporting fraud

CABI is committed to ensuring your information is secure. As part of our efforts to protect your information, CABI will never send you emails asking for your personal information or for your registered password (if you are a registered user).

Retention of your information

We will endeavour to correct, update or remove your information as swiftly as possible; however, communications may be sent using the original details until the changes have been processed.
